The SAIMM initiated webinars and short courses in May 2020 to remain relevant and continuously share knowledge with the industry during the COVID-19 pandemic when all gatherings were restricted under government regulations. We would like to continue with these events as it has proven to be very successful and topics have been of great interest to the industry. We have had over 2000 attendees over the past 6 months and increased our global footprint significantly.
We would like to invite you to be a part of our success and share your skills and knowledge with the industry through one of our event options.
- Webinars - 1 hour
Webinars are held on the Zoom platform for an hour and is registered for CPD points with ECSA and SACNASP. The event is facilitated and hosts 1 or 2 speakers. and can also host several panellists during a session. These webinars attract a global audience and we have managed to build a substantial database of new attendees from the webinars hosted over the past few months.
- Short Course Type 1 - 3 hours
Short course type 1 runs as an Online, contact (in-person) or hybrid event. It aims to provide knowledge and disseminate specific skills training in a few hours. This will be introductory short courses or aimed at young professionals. This type of short course requires a volunteer presenter.
- Short Course Type 2 – 2 days
Short course type 2 runs as an Online, contact (in-person) or hybrid event. It aims to provide knowledge and disseminate specific specialised skills training over a short period of time (no more than 2 days). This type of short course requires a volunteer presenter or an expert specialist speaker.
- Short Course Type 3 – Over several days/weeks
Short course type 3 runs as an Online, contact (in-person) or hybrid event. It aims to provide knowledge and disseminate specific specialised skills training over a period. This type of short course requires a well-known specialist speaker to present and prepare materials.
What we offer

GUIDELINES FOR CONVENORS and CONFERENCE CHAIRPERSONS
GUIDELINES FOR CONVENORS/CONFERENCE CHAIRPERSONS OF TECHNICAL EVENTS
1. MOTIVATION
The Convenor/Conference Chairperson submits a motivation to the Technical Programme Committee – the TPC: Mining and Metallurgy has a formal motivation form that needs to be completed, tabled and personally motivated at the meeting.
- The theme should be topical and of interest to people in the industry. Convenors/Conference Chairpersons should give thought to the target audience and decide if the event will be attractive to the industry.
2. CONVENOR/CHAIRPERSON
- Convenor – A convener is an individual responsible for bringing people together to address an opportunity for an event. The convenor will be responsible for presenting the event idea and motivation to the TPC. The convenor is responsible for identifying a Chairperson and key individuals for the Organising Committee.
- Chairperson – The Conference Chairperson is responsible for:
o Executing the event and overseeing the actions of the Organising Committee and the Secretariat to ensure the financial and overall success of the event
o Should be available for committee meetings every second month to discuss event progress either in person or via Zoom
o Attend the TPC meetings or provide an event progress document for review by the committee
o Contact with committee members regarding action progress
o Oversee all action items listed below
o Convenors must ensure that the Secretariat is aware of all information regarding the event to avoid any miscommunication or action items not being dealt with.
3. ORGANISING COMMITTEE
An organising committee should be formed to assist with the canvassing of papers, setting up of the programme and soliciting of sponsors (approx 4 – 5 members). It is recommended that formal meetings be arranged once every second month. The Secretariat will assist the committee with all the arrangements.
4. SECRETARIAT ASSISTANCE
It is important that Convenors/Conference Chairpersons are aware of the assistance provided by the Secretariat.
- Manage the calendar and provide suitable dates
- Venue confirmation
- Setting up of brochures/registration forms and all marketing material
- Event marketing (Social Media, Advertising)
- Co-ordinating of meetings and preparing agenda and minutes
- All correspondence with speakers, sponsors/exhibitors/session chairpersons – once Convenors/Conference Chairpersons/ Organising Committee have made the initial contact
- Distribution of brochures
- All administration regarding letters, confirmations, invoices, registrations, etc.
- All aspects of registration, including arranging the catering and cocktail party
- Technical visit arrangements
5. PLANNING
Planning must begin at least 8-12 months before the scheduled date. Some events can be fast tracked if speakers and papers have already been identified. However, enough time must be allowed for marketing of the event
- Circulation of event notices
- Call for papers – allow 4 months for distribution and receipt of abstracts
- Provisional programme and registration forms – allow 3 months for distribution
- Deadline for submission of papers – 2 months before event
6. ACTION ITEMS
- Call for Papers – Information to be provided to Secretariat for distribution
- Distribution list – target audiences to whom the notices should be sent, e.g. SAIMM, GSSA, etc should be identified
- Speakers – either canvassed or confirmed from Call for Papers
- Budget – The Secretariat will prepare a budget based on the venue, number of anticipated delegates, special requirements. The budget will be reviewed and approved by the committee. Monthly updates of the financials of each event
- Secretariat to prepare registration forms once budgets have been approved
- Preliminary Programme – organising committee to agree on the structure of the programme
- Sponsors/Exhibitors – the Convenor/Conference Chairpersons/Organising Committee should identify companies to approach. Personal contact should be made, and the Secretariat be advised in order to follow up with formal letter/confirmation.
- Session Chairpersons – Convenor/Conference Chairpersons/Organising Committee to identify session chairs for the programme. Secretariat to follow up and confirm in writing.
EVENT TYPES
Objective
The objective of the TPC events business model aims to identify various event types and activities that will aid in achieving the mandate of the TPC as well as fulfil the SAIMM fiscal obligations. The business models considers the current COVID-19 regulations and restrictions placed on the events industry. The business models are based on the TPC offerings.
1. Webinars

Webinars do not require an organising committee. The Secretariat depends on input from the TPC and Council members for technical input.
Target market
Webinars are aimed at the Mining and Metallurgical Industry from junior level to c-suite level. The audience will depend on the topic and speaker.
2. Online Short Courses
Introduction
The SAIMM short courses provide a learning programme of combined technical content or specific skills training in a short period of time. Topics and speakers are suggested by the TPC members and the industry. Short courses vary in duration and are dependent on the topic. Online short courses do not require an organising committee and relies on input from TPC and Council members.
Short course type 1
Short course type 1 runs as an Online, contact (in-person) or hybrid event. Due to the current COVID-19 situation Online short courses are recommended to keep costs low. It aims to provide knowledge and disseminate specific skills training in a few hours. This will be introductory short courses or aimed at young professionals. This type of short course requires a volunteer presenter.
Target Market
The short course type 1 is aimed at junior/lower to mid-level management and young professional’s dependent on the topic. CPD allocation will play a role in the audience we attract.
Short course type 2
Short course type 2 runs as an Online, contact (in-person) or hybrid event. Due to the current COVID-19 situation Online short courses are recommended to keep costs low. It aims to provide knowledge and disseminate specific specialised skills training over a short period of time (no more than 2 days). This type of short course requires a volunteer presenter or an expert specialist speaker that will charge to present.
Target Markets
The short course type 2 is aimed at junior/lower to mid-level management and young professional’s dependent on the topic. This type of event could add to tertiary qualifications or to supplement current skills and knowledge.
Short course type 3
Short course type 3 runs as an Online, contact (in-person) or hybrid event. Due to the current COVID-19 situation Online short courses are recommended to keep costs low. It aims to provide knowledge and disseminate specific specialised skills training over a period. This type of short course requires a well-known specialist speaker that will charge a fee to present and prepare materials.
Target Markets
The short course type 3 is aimed at mid-level management to c-suite. This type of event supplements current industry skills and knowledge.
3. Conferences
Conference type 1
Conference type 1 runs as an Online event over a period. The nature of the conference is technical and allows the authors to submit papers for publishing either in the SAIMM Journal or in conference proceedings. A call for papers is circulated to the mining and metallurgical industry dependant on the topic. An organising committee is required to provide guidance in terms of content and network connections. These events will include online sponsorship opportunities. This event type will allow for flexibility and attendees can view the event any time after it has concluded. Student and Retired member attend at no charge.
Target Markets
The conference type 1 is aimed at junior, mid-level management and the c-suite and academia withing the minerals industry. This type of event provides a platform for authors to showcase their papers and findings and be published. Authors can choose to only do a presentation.
Conference type 2
Conference type 2 runs as a Hybrid event over a period of consecutive days. The event will allow for contact (in-person) and online attendance, and for live-streaming or pre-recorded presentations. The nature of the conference is technical and allows the authors to submit papers for publishing either in the SAIMM Journal or conference proceedings. A call for papers will be circulated to the mining and metallurgical industry dependant on the topic. Authors can choose to attend the contact event at the venue or present live online or via a pre-recording. An organising committee is required to provide guidance in terms of content and provide network contacts. These events will include online sponsorship opportunities as well as the opportunity for exhibition sponsorship at the event. This conference type will allow for more flexibility as presentations are made available on the Zoom platform immediately after the event and can be viewed at any time.
